Overview

This guide walks you through updating the provider map and listings on the Wyoming Frontier Information website using WP All Import Pro. The system allows you to import your master CSV file to keep provider information current and accurate.

Prerequisites

  • Admin access to the WordPress dashboard
  • Master CSV file with current provider data
  • Basic familiarity with WordPress admin interface

Step-by-Step Import Process

1. Access WordPress Admin Dashboard

  1. Navigate to your website’s admin login page
  2. Enter your admin credentials
  3. Click “Log In” to access the dashboard

2. Navigate to WP All Import Pro

  1. In the left sidebar, locate All Import
  2. Click on All Import to expand the menu
  3. Select New Import to start a new import process

3. Upload Your Master CSV File

  1. On the import page, you’ll see file upload options
  2. Click “Upload a file”
  3. Select “Choose File” and browse to your master CSV file
  4. Click “Upload file & continue” once selected
  5. The system will analyze your file and show a preview

4. Select Import Template

  1. After file upload, you’ll reach the import configuration screen
  2. Look for the “Choose how to import your data” section
  3. Select “Use existing import template”
  4. From the dropdown menu, choose “Providers”
  5. This template contains all the pre-configured field mappings for your provider data

5. Configure Import Settings

  1. In the Import Settings section, select “Use Default Settings”
  2. These default settings are pre-configured for optimal provider data import
  3. Key default settings include:
    • Update existing records if they exist
    • Skip duplicate entries
    • Maintain data integrity

6. Review Import Summary

  1. The system will display a summary showing:
    • Number of records to be imported
    • Field mappings preview
    • Any potential conflicts or issues
  2. Review this information carefully before proceeding

7. Run the Import

  1. Click “Confirm & Run Import” to begin the process
  2. The import will run in the background
  3. You’ll see a progress indicator showing completion status
  4. Do not close the browser tab during import

8. Verify Import Results

  1. Once complete, review the import summary:
    • Number of records successfully imported
    • Number of records updated
    • Any errors or skipped records
  2. Check a few provider listings on the frontend to ensure data accuracy
  3. Verify the provider map displays updated information

Important Notes

File Requirements

  • Format: CSV files only
  • Encoding: UTF-8 recommended
  • Headers: Must match the expected field structure
  • File Size: Large files may take longer to process

Best Practices

  • Backup First: Always backup your site before major imports
  • Test Environment: Consider testing with a small sample file first
  • Regular Updates: Import fresh data regularly to maintain accuracy
  • Monitor Performance: Large imports may temporarily slow site performance

Troubleshooting Common Issues

Import Fails to Start

  • Check file format (must be CSV)
  • Verify file isn’t corrupted
  • Ensure file size is within server limits

Missing or Incorrect Data

  • Verify CSV headers match expected format
  • Check for special characters or encoding issues
  • Review field mapping in the import template

Map Not Updating

  • Clear any caching after import
  • Check if provider coordinates are properly formatted
  • Verify map shortcode is correctly placed on pages
